Print-ready hotel key card artwork starts with an approved card template and a clear production brief. Confirm the finished size, material, print process, surface finish and technical areas before approving the final file. Treat access-system compatibility as a separate approval.
This guide helps hotel buyers, designers and overseas card printers prepare custom hotel key cards and matching sleeves without relying on assumptions about the print setup.
Start with the correct template
Request the template for the actual card and sleeve being ordered. Check the trim line, safe area, bleed and any magnetic stripe or personalization zones. The printer should specify these for the job; a template copied from a different card format may place important text too close to the edge.
Keep front and back artwork clearly identified. State which side carries the logo, guest instructions and any variable data. If cards and sleeves are separate items, provide a separate file for each and identify the corresponding design version.
Supply usable logos and fonts
Send the best available original logo file. Keep small lettering readable at the finished size and avoid using a low-resolution web screenshot as the production master. Ask the printer which file formats and font handling it requires, including whether text should be outlined or fonts supplied.
Review a proof at actual size. A design can look clear on a large monitor while the same text becomes difficult to read on a card. Have the hotel approve the wording, contact details and language versions as well as the appearance.
Specify color and finish
Describe the intended print process and color references. If a brand color is critical, agree how it will be evaluated on the chosen material and finish. A screen preview should not be treated as a physical color standard.
Mark foil, spot effects and other special finishes separately using the printer’s requirements. Confirm whether the effect applies to the front, back or both. Ask for a physical sample when an appearance or handling detail cannot be assessed from a digital proof.
Test QR codes and operational content
If the design contains a QR code, confirm the destination, test the final printed sample on the intended devices and check the guest-facing page. Keep essential instructions readable without requiring a phone. The printed code and the RFID access credential serve different purposes.
For personalized cards, provide a data-field specification and a controlled test file. Review the position, format and order of the records before supplying the approved production data through an agreed channel.
Approve cards and sleeves together
Confirm the sleeve fold, opening, fit and artwork orientation with a sample. Review the card and sleeve as a pair, including how much of the design remains visible when the card is inserted. Agree packing quantities and whether the items ship together or separately.
Record the final approval
- Approved artwork filename and revision.
- Card material, dimensions, finish and print specification.
- Approved physical sample or proof reference.
- Quantity, packing and delivery destination.
- Separate confirmation of chip or stripe requirements.
Frequently asked questions
Does artwork approval also confirm lock compatibility?
No. Confirm the technical credential specification and test the cards in the property’s access system separately.
Is there one bleed value for every card job?
Use the value supplied for the actual production template. Do not assume another printer’s template applies to the order.
